From Paper Run Sheets to a Four-Portal AI Platform — Inside a Custom Build for an Animal Services Business

The business had been running for years on paper run sheets, WhatsApp messages, and a spreadsheet that had become too complicated for anyone to fully understand. What We Built

A four-portal platform, each surface designed for its user type.

Owner portal — live GPS map showing their animal’s location during service. End-of-service AI-generated report (written in plain English, not bullet points) with photos. Booking management. Invoice history. All on mobile.

Walker/Carer app — daily schedule, route optimisation, one-tap check-in/check-out. Photo capture during service. Incident reporting. No paper. GPS runs automatically in the background.

Admin dashboard — full booking management, automated billing, client communications. The AI generates the walk reports; admin reviews and approves before sending. Scheduling conflicts flagged automatically.

Vet partner portal — read-only service history for referred animals. Ability to add health observations that flow back into the animal’s record. Referral tracking.

The intelligence layer connects all four: GPS positions feed the owner map, the walker’s photos and notes feed the AI report engine, the AI report populates the owner portal, and billing triggers automatically at check-out.

How It Works Now

A walker checks in at 7:02am. GPS starts. The owner gets a notification: walk started. At 8:14am, check-out. The AI writes a three-paragraph report describing the walk, the animal’s behaviour, any observations, and ends with a tone that matches the business’s brand voice. The owner gets it within minutes. The invoice is generated. The booking is marked complete.

Admin reviews the day’s reports in one dashboard. The vet partner can see that the referred dog had two energetic walks this week — useful context for the next appointment.

The Numbers

  • 4 fully operational user portals launched in 6 weeks

Independence Architecture

The platform runs on the business’s own cloud infrastructure — their data never touches ABISA servers. The AI report engine uses their own API key, billed directly to their account. GPS tracking uses their own Google Maps account.

Full technical documentation, admin guides, and a staff training program were delivered at handover. The business manages all day-to-day operations. New features go through a standard change process — no ABISA involvement required for day-to-day use or minor configuration changes.
